Who we are
Bears of South Florida (BOSFL) is a volunteer-run nonprofit community organization. This policy explains what personal information we collect through bosfl.org and our member portal, The Den, how we use it, and the choices you have.
Effective date: 2026-10-06
Contact: Bears of South Florida, PO Box 24502, Fort Lauderdale, FL 33307, or through the contact form on our website.
Information we collect
We collect only what we need to run our events, membership and fundraising.
- Information you give us. Name, email address, phone number, mailing address and other details you enter on membership, volunteer, contact, event and donation forms, or in your member profile.
- Member portal information. If you join, we keep your account details, membership status and tenure, and any directory information you choose to provide. The member directory is internal only and is not public.
- Donation and ticket information. When you donate or buy a ticket, the payment is handled by our payment partners. We receive your name, contact details and the amount, but not your full card number.
- Automatic information. Like most websites, we receive your IP address, browser type, device and the pages you visit.
We do not ask for sensitive details such as your sexual orientation, health information or government ID numbers through the website.
How we use information
We use your information only for BOSFL’s own purposes:
- To process memberships, volunteer sign-ups, event registrations and donations
- To run the member portal and sign you in
- To send event announcements, newsletters and receipts
- To respond to your messages
- To keep our records, meet nonprofit and tax requirements, and protect the site from spam and abuse
Cookies and third-party services
Our site uses cookies to keep you signed in, remember comment details and understand how the site is used. You can block or delete cookies in your browser settings, though parts of the site, such as the member portal, may not work without them.
We rely on these services to run BOSFL, and each handles your information under its own privacy policy:
- Constant Contact for email newsletters and announcements
- GiveButter for donations
- TicketTailor for event tickets
- QuickBooks for our accounting records
- Embedded content such as videos or maps, which may set their own cookies
- Google Analytics for site traffic statistics
How we share information
We do not sell, rent or trade your personal information, and we do not share member lists with outside organizations or advertisers.
We share information only with the service providers listed above, so they can do the work we ask of them, and when the law requires it, such as in response to a valid legal request. Volunteers who handle member data do so only for BOSFL business.
Member portal and email
The Den, our member portal, signs you in with a one-time link sent to your email address. The member directory is internal only. It is not public and can be seen only by signed-in members, and it shows only the details you choose to share, which you can change or hide in your profile.
If you are on our mailing list, you will receive newsletters and event announcements. Every email includes an unsubscribe link, and you can also ask us directly to remove you. Unsubscribing does not stop receipts or messages about your membership.
Retention, security and your choices
We keep member and donor records for as long as they are needed for our programs, accounting and legal obligations, and then delete or anonymize them.
We protect your information with access controls, limited volunteer access and secure connections, but no website can guarantee complete security.
You can ask us at any time to:
- Show you the personal information we hold about you
- Correct it
- Delete it, except where we must keep it for legal or financial reasons
- Remove you from our mailing list
